Email Forms Tool Box

What Is An Email Form

An email form is a template that you create once and are able to save and then use over an over again. A good example of an email form would be a company benefits summary. Lots of people ask about benefits, so you could create a benefits summary and then have it there to send to any candidate who asks you for benefits information.

How to create an email form

First, select “Tools” your left hand tool bar. Then, select the “Email Forms” option. A screen that says email templates and new template will be displayed. Click on the words “new template”. You should now see the screen allowing you to compose an email. You can then enter the text that you would like to use and format it the way you would like to. Then, select from the drop down box just below your compose screen who this email will be for (candidates or client contacts). The templates will only be displayed in the appropriate place within the application (e.g. a client contact template will be displayed when you are emailing client contacts). This ensures that you d not have to scroll through templates that are not applicable for the people you are emailing from within BrightMove. Don’t forget that you can use the spell checker simply by clicking the ‘check spelling” option at the bottom of the template. Now you are done with your email form, click on the submit button. Now, you will be able to use this template over and over.

How to edit an email form

Navigate to “Email Forms” under the Tools section of your left side tool bar. Click on the email form that you would like to edit, and you will see the compose screen with your text and existing email. Make the change or changes that you would like, and then click the submit option at the bottom of your compose screen. Your changes will be saved.

How to delete an email form

Navigate to “Email Forms” under the Tools option on the left side tool bar. You will see a list of all of your current email forms. Click on the red “x” to the right of the template that you would like to delete. Once clicked, the template will be deleted permanently from BrightMove.

How to send an email form to more than one Contact a time

At a Single Client

On the Client Profile screen scroll down until you see the section titled “Contacts”. View the list of contacts, and select who to send an email to by filling in the small box next to their name with a check. Once you have selected each contact who you would like to email select the email form that you would like to send from the available list. Then click the “Submit” button at the bottom of the Client Contact screen. The Compose email screen should now be displayed. If you selected a template, you will see the template text. Next, click the “Submit” button at the bottom of the Compose Email screen. The email will be send to the contacts that you selected and will be recorded for later reference in the Activities section of each Client Contact profile screen.

At Multiple Client Locations (from search results)

Once a search has been conducted and results set obtained, the BrightMove user may send an email to more than one Client Contact. Just above the list of search results on the left, you should see an option that says “Select All”. To send an email to every single Contact that was found when you did your search, click inside this box. To pick and choose who to send an email to, use the mouse to put a check mark in the box to the left of the Contact’s name. Next, go to the drop down menu that appears just above the search results set to the right, and select email form that you would like to send to the Contacts. The Compose email screen will be displayed and you will see content of the email form. Make sure everything appears as you would like it to on the compose email screen and then click the “Submit” key at the bottom of the compose email screen. The template will be sent to the Contacts that you selected, and will be recorded in the activity section of each Contact’s profile.

How to send an email form to more than one Applicant at a time

Once a search is conducted and results obtained, the BrightMove user can contact multiple candidates by sending them a mass email. Just below the “Submit” key at the top of the search result screen, there is a “Select All” option. To send an email to every person whose record is displayed on the Search Results Screen, click “Select all”. You will see a check box to the left of each applicant’s name.

To pick and choose the applicants to send an email to, click inside of the check box to the left of each candidate that you would like to send an email to.

Next, go to the menu showing at the top right of the search results that says “Choose Action for List”. Click on the down arrow in the right side of this box, and you will see an Option that says “Send Email”. Just below that, you will see “Blank Email” listed and you will also see any email templates that you have created listed by title. Select the email form from the drop down list and then click the “Submit” key at the top of your search result screen. You will see the compose email screen with the contents of the email form. Click on the “submit” key at the bottom of the compose email screen, and your template will be sent to each applicants that you selected. The email will be recorded in the Applicant Profile under the “Activities” section.

From the Requirement Profile Page

To send an email to a list of applicants who have applied to a particular position, first navigate to the appropriate requirement profile page. In the “Submittals” section of the Requirement Profile screen you will see the names of each applicant who has applied to or been put in the requirement. Just above the list of applicants, you should see an option that says “Select All”. To send an email to every single applicant that you see in the submittals section of the page, click inside this box. To pick and choose who to send an email to, use the mouse to put a check mark in the box to the left of the applicant’s name. Next, go to the drop down menu that appears just above the list of applicants to the right, and select the template that you would like to send to the applicants. The compose email screen will appear and you will see the text of the email form you selected to send. Click the “Submit” key at the bottom of the compose email screen. The template will be sent to the applicants that you selected, and will be recorded in the activity section of each applicant’s profile.
